Please read these Terms and Conditions ("Terms") carefully before using the My Nurse Passport website (https://mynursepassport.com) and platform (collectively, the "Services") operated by My Nurse Passport ("we," "our," or "us").
By creating an account or accessing any part of the Services, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you must not use the Services.
1. About the Services
My Nurse Passport is a clinician-owned credential management platform designed for Registered Nurses (RNs), Nurse Practitioners (NPs), and Advanced Practice Registered Nurses (APRNs) practicing in the United States. The Services allow users to:
- Store and organize professional credentials, documents, and continuing education (CE/CME) records in an encrypted vault.
- Track license renewal deadlines, CEU requirements, and immunization expirations.
- Compare state-by-state licensing requirements, fees, and Full Practice Authority (FPA) rules.
- Use the Smart Import (AI) feature to extract data from uploaded documents.
- Assess eligibility and readiness for multi-state licensure applications.
2. Eligibility
You must be at least 18 years of age to use the Services. By creating an account, you represent and warrant that you are at least 18 years old and have the legal capacity to enter into a binding agreement. The Services are intended for licensed or student nursing professionals in the United States. We reserve the right to suspend or terminate accounts that do not meet these eligibility requirements.
3. Account Registration
To access the full features of the Services, you must create an account by providing your full name, a valid email address, and a password. You agree to:
- Provide accurate, current, and complete information during registration.
- Maintain the security and confidentiality of your password and account credentials.
- Notify us immediately at privacy@mynursepassport.com if you suspect any unauthorized access to or use of your account.
- Accept responsibility for all activities that occur under your account.
We reserve the right to suspend or terminate your account if we have reason to believe that any information you provided is inaccurate, false, or misleading.
4. Paid Plans
The Services are offered on a subscription basis.
Paid Subscriptions: Access to premium features — including full 50-state requirement data, state comparisons, eligibility checks, and application tracking — requires a paid subscription. Subscription fees, billing cycles, and plan details are described on our Pricing page.
Billing and Payment: All subscription payments are processed securely by Stripe. By subscribing, you authorize Stripe to charge your chosen payment method on a recurring basis in accordance with your selected plan. You agree to Stripe's terms of service in addition to these Terms. We do not store your payment card details.
Cancellation: You may cancel your subscription at any time through your account settings or by contacting us. Cancellation will take effect at the end of your current billing period. We do not offer refunds for partial billing periods unless required by applicable law.
Price Changes: We reserve the right to modify subscription pricing at any time. We will provide you with reasonable advance notice of any price changes, and your continued use of the Services after the change takes effect constitutes your acceptance of the new pricing.
5. User-Entered Data and Your Vault
The platform allows you to voluntarily enter and store professional data in your encrypted vault, including license information, CE records, immunization history, work history, and uploaded documents. You acknowledge and agree that:
- You are solely responsible for the accuracy, completeness, and legality of any data you enter into the platform.
- We do not verify, validate, or independently confirm any information you enter. The platform reflects only what you provide.
- You retain full ownership of all data and documents you upload or enter. We do not claim any ownership rights over your vault contents.
- You may download or delete your data at any time from within your account.
6. Smart Import (AI) Feature
Our Smart Import feature uses artificial intelligence to extract information from documents you upload (such as license certificates, CE certificates, and Nursys reports). By using this feature, you acknowledge that:
- AI extraction is automated and may occasionally produce errors, omissions, or misreadings. You are responsible for reviewing all extracted data for accuracy before relying on it.
- Uploading a document to Smart Import does not constitute official verification of your credentials with any licensing authority.
- We are not liable for any inaccuracies in AI-extracted data or for any decisions you make based on such data.
7. Disclaimer of Professional Advice
The Services are provided for informational and organizational purposes only. Nothing on the My Nurse Passport platform constitutes legal, regulatory, credentialing, or professional licensing advice.
Specifically:
- State licensing requirements, fees, and rules displayed on the platform are sourced from publicly available official sources and are provided for general guidance only. Requirements change frequently, and we cannot guarantee that all information is current, complete, or accurate at the time you access it.
- The eligibility check and readiness scoring features are tools to assist your planning. They do not constitute a formal determination of your eligibility by any Board of Nursing or licensing authority.
- You must always verify final licensing requirements, fees, deadlines, and eligibility directly with the relevant official state Board of Nursing or licensing authority before submitting any application or making any professional decisions.
We are not responsible for any consequences arising from reliance on information provided by the Services without independent verification.
8. Acceptable Use
You agree to use the Services only for lawful purposes and in accordance with these Terms. You must not:
- Use the Services in any way that violates any applicable federal, state, or local law or regulation.
- Attempt to gain unauthorized access to any part of the Services, other user accounts, or our systems.
- Upload, transmit, or store any content that is unlawful, fraudulent, defamatory, obscene, or that infringes the intellectual property rights of any third party.
- Use any automated means (such as bots, scrapers, or crawlers) to access, collect, or copy any content from the Services.
- Attempt to reverse-engineer, decompile, or disassemble any part of the Services.
- Use the Services to impersonate any person or entity or misrepresent your affiliation with any person or entity.
- Interfere with or disrupt the integrity or performance of the Services or the data contained therein.
We reserve the right to investigate and take appropriate legal action against anyone who, in our sole discretion, violates this provision, including suspending or terminating their account.
9. Intellectual Property
All content, features, and functionality of the Services — including but not limited to text, graphics, logos, icons, software, and state licensing data compilations — are the exclusive property of My Nurse Passport or its licensors and are protected by applicable intellectual property laws.
You are granted a limited, non-exclusive, non-transferable, revocable license to access and use the Services for your personal, non-commercial use as a nursing professional. This license does not include the right to:
- Reproduce, distribute, or publicly display any content from the Services.
- Create derivative works based on the Services or their content.
- Use any data mining, scraping, or similar data gathering methods on the Services.
Any use of the Services not expressly permitted by these Terms is a breach of these Terms and may violate intellectual property laws.
10. Third-Party Links and Services
The Services may contain links to third-party websites, including official state Board of Nursing websites, Nursys, and other licensing resources. These links are provided for your convenience only. We have no control over the content, privacy practices, or availability of those third-party sites, and we are not responsible for any loss or damage that may arise from your use of them. Accessing any third-party link is done entirely at your own risk.
11. Limitation of Liability
To the fullest extent permitted by applicable law, My Nurse Passport, its owners, officers, employees, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages — including but not limited to loss of data, loss of revenue, missed license renewals, or failed licensing applications — arising out of or in connection with your use of, or inability to use, the Services.
Our total aggregate liability to you for any claim arising out of or relating to these Terms or the Services shall not exceed the greater of (a) the total amount you paid to us in the twelve (12) months preceding the claim, or (b) one hundred U.S. dollars (USD $100).
Some jurisdictions do not allow the exclusion or limitation of certain types of liability. In such jurisdictions, our liability is limited to the maximum extent permitted by law.
12. Indemnification
You agree to indemnify, defend, and hold harmless My Nurse Passport and its owners, officers, employees, and affiliates from and against any claims, liabilities, damages, losses, costs, and expenses (including reasonable legal fees) arising out of or in connection with: (a) your use of the Services; (b) your violation of these Terms; (c) any data or content you submit to the platform; or (d) your violation of any applicable law or the rights of any third party.
13. Termination
We reserve the right to suspend or terminate your access to the Services at any time, with or without notice, for any reason, including if we believe you have violated these Terms. Upon termination, your right to use the Services will immediately cease. You may also delete your account at any time from within your account settings or by contacting us.
Provisions of these Terms that by their nature should survive termination — including but not limited to Sections 7, 9, 11, 12, and 14 — shall survive any termination or expiration of these Terms.
14. Governing Law and Dispute Resolution
These Terms are governed by and construed in accordance with the laws of the United States and the state in which My Nurse Passport is registered, without regard to its conflict of law provisions. Any dispute arising out of or relating to these Terms or the Services shall be resolved through good-faith negotiation between the parties. If a dispute cannot be resolved through negotiation, it shall be submitted to binding arbitration in accordance with the rules of the American Arbitration Association, unless prohibited by applicable law.
Nothing in this section prevents either party from seeking injunctive or other equitable relief from a court of competent jurisdiction.
15. Changes to These Terms
We reserve the right to modify these Terms at any time. When we make material changes, we will update the "Last Updated" date at the top of this page and, where appropriate, notify you by email. Your continued use of the Services after any changes take effect constitutes your acceptance of the revised Terms. If you do not agree to the updated Terms, you must stop using the Services.
16. Severability
If any provision of these Terms is found to be invalid, illegal, or unenforceable under applicable law, that provision shall be modified to the minimum extent necessary to make it enforceable, or severed from these Terms if modification is not possible. The remaining provisions of these Terms shall continue in full force and effect.
17. Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and My Nurse Passport with respect to your use of the Services and supersede all prior agreements, understandings, and communications, whether written or oral, relating to the subject matter herein.
